MailMaid — Your Gmail Cleans Itself*
MailMaid is a Chrome extension that automatically organizes your Gmail using rules you define.** Instead of drowning in promotions, newsletters, order updates, social notifications, and FYI threads, you tell MailMaid once what counts as clutter — and it quietly archives, labels, deletes, forwards, stars, or marks-read everything that matches, on a schedule or on demand.
How it works:
1. You write rules. Open the Manage Rules page and build conditions like:
- From contains / doesn't contain
- To contains / doesn't contain
- Subject contains* / *doesn't contain
- Message body contains / doesn't contain
Every field supports comma-separated values, rules can be toggled on/off individually,
and you can stack as many rules as you want.
2. You pick actions per rule. Each matching message can be:
- Archived out of the inbox
- Marked read
- Starred
- Given a Gmail label
- Forwarded to another address (sent as a real `Fwd:` message with the original attached verbatim, headers and attachments intact)
- Deleted (moved to Trash)
- Never sent to Spam
- Marked Important / Not Important
- Assigned an inbox category (Social, Updates, Forums, Promotions)
- Applied to the whole conversation, not just the single message
3. You run it your way.
- Clean Now — one click, scans immediately with a live progress bar, message counter, and throughput readout.
- Auto Clean — set an interval (every N minutes) and MailMaid scans in the background via a persistent alarm. The popup shows a live countdown to the next run, freezes honestly on "Scan in progress" while working, and restarts the countdown when the scan *finishes* — so a long scan can never push the timer to zero mid-run.
Built for real inboxes
- Fast: fetches up to 25 messages in parallel, groups identical label changes into single `batchModify` calls (up to 1,000 messages per call), and paces itself against Gmail's 6,000 quota-units/minute ceiling with a token bucket.
- Resilient: every retryable failure (rate limits, 429s, 5xx, network blips) is retried with exponential backoff and jitter. Progress is flushed to storage continuously, so if Chrome kills the worker mid-scan, the next run resumes instead of starting over. Interrupted runs are labeled "(incomplete)" rather than silently double-counted.
- Honest UI: cumulative Checked / Matched stats, last-scan time, live scan rate vs. goal, forwarding backlog indicator, and a Clean Now button that can never get stuck disabled — even if a scan was started from another window or the worker died.
- Private by design: runs entirely on your machine, signs in with plain Google OAuth (no app passwords, no passwords stored anywhere), only requests `gmail.modify` + `gmail.send`, and never sends your mail anywhere except where *your* rules say.
Who it is for
Anyone whose inbox fills faster than they can triage it: shoppers buried in promos, developers drowning in notifications, job seekers filtering rejections and outreach, parents managing school lists, or anyone who wants "inbox zero" without living in their inbox.
